Quick answer
ESI registration enrols your business with the Employees’ State Insurance Corporation so workers get medical, sickness and maternity benefits. It applies to covered establishments with 10 or more employees (a higher count in some states), for workers earning up to ₹21,000 a month. Employers contribute 3.25% and employees 0.75% of wages.

Overview
What you need to know about ESI Registration for Employers (ESIC)
The Employees’ State Insurance Act, 1948 provides social insurance for eligible employees in covered factories and notified establishments. Coverage generally begins at 10 or more persons in implemented areas, but establishment categories and thresholds depend on applicable notifications.
The usual wage ceiling for employee coverage is ₹21,000 per month, with a higher ₹25,000 ceiling for persons with disability. Current contribution rates are 3.25% for employers and 0.75% for employees on applicable wages.
The service covers establishment assessment, registration and employee onboarding guidance. Location, activity, wage components and existing insurance numbers should be checked before filing.
Is this for you?
Who needs this and when
Under the Employees’ State Insurance Act, 1948, shops, hotels, restaurants, cinemas, transport businesses, factories and other covered establishments must register once they have 10 or more employees. The count threshold can be 20 in some states, so check your state. Employees earning up to ₹21,000 a month, or ₹25,000 for persons with disabilities, are covered.
The scheme gives workers medical care, sick pay, maternity benefit, disability benefit and dependants’ benefit. For the employer, registration is a legal duty and not a choice, once the conditions are met. It can also matter when you bid for tenders or work with larger clients. The scheme applies only in notified areas, so confirm that your area is covered.

Avoid delays
Common mistakes to avoid
- Registering only after an inspection notice. The law expects registration within a set period after the Act applies to you, and delay can bring contributions with interest and damages.
- Leaving out employees who are covered, such as those engaged through contractors. The principal employer can be responsible for contributions of contract workers.
- Using the wrong wage limit or including workers who earn above the ceiling. Check the current wage ceiling and apply it to each person each month.
- Paying contributions after the 15th of the following month. Interest is charged for delay, so set up an automatic payment reminder.
- Not updating employee records after exits or a change in wages, which leaves workers without proper benefits and the returns wrong.
Next steps
After it’s done: staying compliant
Once your employer code is issued, register each eligible employee and give them an insured person (IP) number and e-Pehchan card. Deduct the employee share from wages and pay both shares by the 15th of the next month. Keep your records of attendance, wages and challans, as ESIC may inspect them.
File half-yearly contribution details as the portal requires, and update employee data when people join, leave or change roles. Tell staff how to use the dispensary or hospital and how to claim benefits. If you get a notice for contribution, damages or inspection, reply with records and ask for professional help early.
FAQs
Frequently asked questions
Does ESI apply to every business with 10 workers?
Not automatically. The business must fall within a covered factory or notified establishment category in an implemented area. Some state notifications use a different threshold for particular establishments.
What if an employee earns more than ₹21,000?
Employees above the applicable ceiling at entry are generally outside coverage. If wages cross the ceiling during a contribution period, contributions ordinarily continue until that period ends. Persons with disability have a ₹25,000 ceiling.
How much must the employer and employee pay?
The employer rate is 3.25% and the employee rate is 0.75% of applicable wages. Employees whose average daily wages do not exceed ₹176 are exempt from their own contribution, but the employer contribution remains payable.
When is ESI registration and payment due?
Registration is generally required within 15 days of the Act becoming applicable. Monthly contributions are ordinarily payable within 15 days after the end of the relevant month.
What happens if contributions are delayed?
Interest, damages and recovery proceedings may follow. Failure to register or remit contributions can also attract prosecution under the Act; liabilities depend on the facts and period involved.
Can an existing employee insurance number be reused?
Yes. An employee’s existing insurance number should generally be retained when changing employers. Creating duplicates or entering incorrect identity details can disrupt records and benefit access.
